In the print window, pick "Save as PDF" as the printer to get a PDF file. The invoice prints on its own, on A4.
How the total is worked out
Each tax is charged at its own rate on the taxable value and rounded to the paisa on its own, so CGST and SGST are always equal. The discount comes off before tax, because rule 46(k) asks for the taxable value after discount.
About the invoice generator
Fill in your details, your client and the work, and the page builds the invoice beside the form. If you are registered for GST it becomes a tax invoice with the particulars rule 46 of the CGST Rules asks for, and the tax is split by where your client is. If you are not registered it is a plain invoice with no GST, because a person who is not registered cannot collect tax (section 32(1) of the CGST Act).
Print it, or pick "Save as PDF" in the print window to get a file you can email. Your own details and the next invoice number can be kept on this device for next time.
What a GST tax invoice must show (rule 46)
- Your name, address and GSTIN.
- An invoice number of up to 16 characters (letters, numbers, "-" and "/"), unique within the financial year. You may run more than one series.
- The date of issue.
- Your client's name, address and GSTIN if registered. For a client who is not registered, their name, address and state with its code when the taxable value is โน50,000 or more.
- The HSN or SAC code and a description of each service.
- The taxable value after any discount, and the rate and amount of each tax.
- The place of supply with the state's name, for an inter-State supply.
- Whether tax is payable on reverse charge.
- Your signature or digital signature. An electronic invoice issued under the Information Technology Act, 2000 does not need one.
CGST + SGST, IGST or no GST
- Client in your state: an intra-State supply. The rate is split in half: 9% CGST and 9% SGST at 18%.
- Client in another state: an inter-State supply. One line of IGST at the full rate.
- Client outside India: an export of services when the five conditions of section 2(6) of the IGST Act are met, including payment in convertible foreign exchange (or in rupees where RBI permits). It is zero-rated: no IGST under a Letter of Undertaking, or IGST paid and refunded.
- Not registered: no GST on the invoice at all.
- The page uses the general place-of-supply rule for services, section 12(2) of the IGST Act: where the client is. Services tied to property, events or transport have their own rules; check yours before you invoice.
Invoicing a client abroad
To export without charging IGST you need a Letter of Undertaking (LUT) in Form GST RFD-11, filed on the GST portal for the financial year before you invoice. The invoice then carries, word for word, the endorsement rule 46 prescribes: SUPPLY MEANT FOR EXPORT/SUPPLY TO SEZ UNIT OR SEZ DEVELOPER FOR AUTHORISED OPERATIONS UNDER BOND OR LETTER OF UNDERTAKING WITHOUT PAYMENT OF INTEGRATED TAX. In place of a GSTIN it shows the client's name, address and country.
The invoice can be in the currency you bill in. For the supply to count as an export, payment has to arrive in convertible foreign exchange, or in rupees where RBI permits.
Exporters of services may also need to file RBI's Export Declaration Form for each month's invoices. The EDF form generator works out the due dates from the same invoices.
Timing, copies, codes and e-invoicing
- Issue the invoice within 30 days of supplying the service (rule 47).
- Make it in two copies, marked "Original for recipient" and "Duplicate for supplier" (rule 48(2)). Tick the box above the print button to print both.
- SAC digits: with aggregate turnover up to โน5 crore, at least 4 digits on invoices to registered clients; above โน5 crore, 6 digits (Notification 78/2020-CT).
- If your aggregate turnover in any financial year since 2017-18 has been above โน5 crore, your B2B and export invoices must be e-invoices with an Invoice Reference Number from the government's invoice registration portal (rule 48(4); Notification 10/2023-CT, from 1 August 2023). This page does not make e-invoices.
- Registration becomes compulsory once aggregate turnover in a financial year crosses โน20 lakh, or โน10 lakh in Manipur, Mizoram, Nagaland and Tripura (section 22 of the CGST Act).
What happens to your details
Nothing you type is sent to a server; the invoice is built in your browser. If you tick "Remember my details", your own details, payment details, logo and next invoice number are saved in this browser only. Clients and items are not saved. Untick the box to delete what was saved.
